The University of Colorado Boulder Athletics department encourages applications for an Assistant Director of Athletic Operations and Events! This position will provide a high level of professional assistance and management to the Assistant AD of Stadium Operations for events in Folsom Field, and other Athletic Facilities. The Assistant Director will be a primary contact for the athletic facility scheduling excluding the East Stadium Club Level, Touchdown Club, Rooftop Lounge, CU Events Center and Kittredge Field. This position will also be responsible to execute event management, operations and staffing to provide superior events to all external and internal customers. Evenings and weekend work hours required.
This position is responsible with assisting in the daily supervision and maintenance of the athletic facilities including event preparation, event management, and strike/cleanup of events. Duties include assisting with the planning and management of various projects, procurement and contract management, facility maintenance, health and safety, communication and management of student work force.

Event Management and Operations:
Provide on-site coordination for event management; including but not limited to athletic events, university events and outside events. Acts as the Athletic Departments liaison for campus events (SAFE Committee), community events and Folsom Field Events.
Assist with all matters of Football game day and assigned Olympic sport game day operations. Duties to include performing tasks related to all preparations for games concerts, events, game day event execution and post event cleanup and/or restoration of facilities. Must be able to adjust preparations for events based off of ticketing trends, historical data, weather forecasts, and other factors that determine size and scope of events.
Assist the Assistant AD of Stadium Operations by identifying and scheduling staff to support games and events. Use sound budget practices to avoid over staffing events. Help schedule/order items needed for events support such as table/chair rentals, supplemental lighting, portable restrooms, fencing, tents, etc. Manage distribution of equipment and pickup schedules.
Facility Scheduling:
Implementation and integration of EMS (Event Management Systems). Evaluate current procedures related to facility scheduling and update all policies and procedures. Administer and manage facility and event scheduling for athletic facilities. Track all contracts and payments owed to the University of Colorado Athletic Department for facility rentals and staffing. Maintains and distribute facilities activity calendar, approves or denies facility rental for specific events and arranges technical requirements such as parking, staffing and any other services that might be necessary for the standards of event management within the Athletic Department within the University of Colorado.
Student Management:
Hire, train, manage and mentor student employees so that they can become integral personal within the department. Track, manage and submit payroll for all student employees with assistance of the Assistant Athletic Director. Determine staffing needs and levels which includes but not limited to setup, event management, breakdown and cleanup assignments.
Sustainability:
Coordinate and maintain best practices that meet university and athletic department standards for sustainability. This will include post event coordination for disposal for waste from the stadium or other events. Uses EMS scheduling and C-Cure scheduling software to organize and plan events.
Maintenance and management of facilities and inventories:
Develop detailed inventory management checklists and pricing structure for in-house furniture and a/v rental; assesses and resolve event damage disputes.
Oversee and maintain quality working relationships with vendors and contractors to confirm and coordinate work
Review documents for work requests for campus Facility Management to assess impact on event operations.
Use sound decision making when determining cost preventive measures when planning for improvement and maintenance within the facility.
Emergency Management & Other Duties assigned:
Use ICS command structure and trainings to be prepared for emergencies. Respond appropriately to emergencies or urgent issues as they arise. These issues may not be facility related, but may be athletic program related within regards to practices and competitions. Emergency issues will be dealt with on a case by case basis, but none the less are the highest of priorities and should be dealt with accordingly.

Bachelor’s Degree or equivalent combination of education and experience may substitute.
At least 2 years of experience in athletic facilities operations and event management. In addition to professional experience, experience may also include internships and graduate level work within an athletics facility.
