Position Summary:

The Athletic Aid and Scholarship Coordinator, under the supervision of the Associate Director of Scholarships, acts as the primary agent in the development and coordination of communication and customer service efforts for the Office of Financial Aid and Scholarships for student athletes. Excellent and timely communication as well as responding to students, administrators, faculty, staff, and other external organizations and government agencies is provided. The position oversees outreach efforts of the office while assisting with student and other customer contacts during peak periods and/or the absence of other assigned staff. This position will ensure the distribution of the student financial aid and scholarship programs available to students in accordance with federal, state, and university policies and procedures. This position will collaborate across departments for effective and accurate service to students and families

This role requires a blend of student financial aid functional knowledge, technical expertise, management, and business analysis skills. This position also provides continued support and maintenance of the FAS software systems (including Banner) in addition to providing support to financial aid staff, student applicants, and internal and external stakeholders

Duties & Responsibilities:

• Compliance: Package financial aid awards, disburse funds, notify students and agencies of disbursements and process necessary reports related to federal, state, athletic, and institutional aid programs. Monitor and adhere to applicable federal aid, state, institutional, and knowledge of NCAA rules affecting student scholarships and aid program eligibility; reviews and adjusts aid packages as required and in a timely manner
• Compliance: Ensures that the college athletics programs are in compliance and regulations governing financial aid to student-athletes by working cooperatively with individuals whose responsibilities include student-athletes in monitoring all financial aid awarded to student-athletes, as well as income from additional sources of countable aid, work study, jobs, grants, and loans
• Reporting: Prepare and present institutional annual reports as needed
  
• Eligibility: Review the processing of award determinations and oversee work performed by in-house staff and third-party vendors. Work with staff to resolve complex problems involving eligibility, funding, awarding and/or disbursement of funds. Ensures the timely processing of Satisfactory Academic Progress appeals and Professional Judgement appeals
• Research and Statistics: Evaluates and tracks current federal/athletic/scholarship programs for optimum recruiting and retention
• Maintain professional knowledge of all federal and state financial aid regulations and reporting requirements; assist in policy adaptation and managing the office in compliance with all such regulations and policies
• Complete and assist with required audits and compliance reporting, maintain student aid consumer information reporting requirements, and assist with annual review of FAS Cost of Attendance (COA)
• Coordinate the annual review of Athletic Policy and Procedure Manual. Assist FAS leadership in continually developing and maintaining best practices in relation to the administration of aid and counseling of student athletes
• Customer Service Representative:  Provide assistance and other resources to potential and current students, parents, staff, faculty, off-campus agencies, high school counselors, and scholarship donors
• Fund Management: Oversee the processing and balancing of scholarship programs
• Training: Provide continuing education for all regulatory, institutional, and state changes. Work with leadership team to create and manage training for current and new staff.
• Administrative: Work closely with other Enrollment Services departments, such as Undergraduate Admissions, Business Office, and the Registrar
• Conduct all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA)

Knowledge/Skills/Abilities:

Knowledge of student financial aid programs, standards, and procedures
Knowledge of counseling and interview techniques
Knowledge of Operational Processes
Knowledge of Athlete Program

Ability to supervise employees
Ability to interpret laws, guidelines and regulations pertaining to Financial Aid and Scholarships assistance
Ability to review and evaluate student financial needs

Excellent communication skills
Experience with Microsoft Office Products
Familiarity with Banner; Experience in web-based technology and demonstrated use of technology in delivery of financial aid services

Preferred Qualifications:
Master's Degree with emphasis in Educational Administration, College Student Personnel Services, or a related field
Three (3) years of experience in a higher education financial aid office

Minimum Qualifications:

An earned Bachelor's Degree
