JOB SUMMARY

The Athletic Bands Program Assistant provides administrative support to the band directors and membership in all aspects of the Marching and Pep Band Program. The Program Assistant secures all basic needs for the band (transportation, food, equipment, etc.), maintains records of purchases, equipment, historical documents, and rosters, and submits work orders related to Athletic Bands facilities and rehearsal spaces. The Program Assistant supervises all student workers and administrative volunteers who support the band and the band directors. The Program Assistant also interacts with and handles inquiries from departments across campus, potential members, parents, alumni, community members, and other supporters. The Program Assistant may be asked to assist with maintaining, driving, and submitting timely repair requests for vehicles used by the Athletic Bands (e.g., department van, box truck, etc.).

DUTIES AND RESPONSIBILITIES

The following duties comprise the responsibilities of this position:

  • Manage daily workflow within an active office environment: supervise student staff and volunteers; respond to questions and requests for information.
  • Consulting and Advising Membership: Work with student leaders and service organizations to execute events/projects.
  • Event Planning: Plan and execute alumni events. (i.e., Homecoming activities, Alumni Mentorship/Networking Program, Social Events, Pep Band Events) and Yearly Band Events (i.e., Giving Day, Brass Cleaning, Senior Send-off, Summer Camps/Open House, Convocation).
  • Coordinates travel itineraries and makes travel arrangements including air reservations, hotel reservations, car/bus rentals, etc.
  • Facilitates routine office supply purchases through the University procurement system and processes allowable purchases with the University ProCard, in compliance with the School and University policies and procedures.  
  • Inventory: distribution, maintenance, and transportation of instruments; maintain music library and oversee music distribution; coordinate distribution of uniforms; maintain records of other equipment.
  • Attendance: receives, processes, and communicates student rehearsal and performance conflicts.
  • Scheduling: maintain meetings calendar and assist in the development of performance and rehearsal schedules.
  • Maintain historical and financial records.
