Job Description
The Director of Budget & Financial Analyst will be a lead position in the Athletics Business Office. Working directly with the Deputy AD/CFO and Business Strategy and Associate AD, Finance their primary function will be to assist in managing the athletics department’s overall annual budget. The position will have significant responsibility in providing management, administration, analysis, and evaluation of financial activities within the athletics department. They will be responsible for creating and managing monthly budget reports for OU Athletics and work with the OU Foundation on financial transactions and monthly reconciliation. Individual must possess excellent logic and troubleshooting skills and demonstrate excellent communication and customer service. Work must be done independently in a highly organized manner with a strong attention to details. The individual must be able to manage multiple projects simultaneously and meet deadlines established by the department.
Essential Functions:
Monitors and analyzes an over $200M annual budget within the university financial systems, including revenue and expense transactions
Oversees the preparation of monthly budget reports for department budget managers to review and work with all sports and support areas on ensuring each unit is working within their budget and answer questions related to expense transactions
Continuous monitoring of department cash and reserve balances to ensure that the expenses of the accounts managed do not exceed the unit’s allocated budget
Prepares and analyzes real-time and monthly department income statements to be reviewed and analyzed by Associate AD, Finance and the Deputy AD/CFO and Business Strategy
Builds dynamic forecasting models for revenue and expense line items to support business decisions and explore financial impacts of potential opportunities
Leads the development of the annual Athletic Department budget and prepare summary reports to be presented to the Director of Athletics
Oversees OU Foundation financials including transactions, working with Sooner Club on monthly reconciliation to Paciolan reports, opening/closing accounts, ensuring funds are being utilized, monitoring cash balances, handling transfers to OU state account, and any other responsibilities related to the OU Foundation financials
Works with the Compliance Office to prepare and monitor annual scholarship and financial aid expenses
Prepares budget transfers to ensure the correct budgeted amounts are in accounts this includes working with Athletics Business Office to prepare cost transfers
Conducts analysis of monthly department expense transactions and spending data and trends, including utilities, facilities management billing, and other large spending transactions as appropriate
Research and prepare analytics reports as necessary and requested by the Associate AD, Finance and/or the Deputy AD/CFO . This can include a utilities analysis by utility type, IT services analysis, comp ticket review, comparisons over different conferences, etc
Responsible for the preparation and completion of the Annual EADA Financial Reports
The EADA report is for the Equity in Athletics Disclosure Act that is designed to make prospective students aware of a school’s commitment to providing equitable athletic opportunities for its men and women students. It includes participants by gender, coaching staff, genders, and salaries, and revenue and expenses
Responsible for the preparation and completion of the Annual NCAA Agreed Upon Procedures
According to the NCAA constitution, Article 2(D)(1)(c), all members of the NCAA must submit annually its financial data as determined by the division detailing operating revenues, expenses, and capital relating to the intercollegiate athletics program. The financial data is subject to the Agreed-Upon Procedures performed by a qualified independent accountant annually for all D1 members
Assist in long-range financial planning as requested by the Associate AD, Finance and/or the Deputy AD/CFO
This could include planning on both expense and revenue sides for the entire department or individual departments as well as impact of capital projects for that same term
Responsible for monthly reconciliations and postings of Ticket Office tickets and revenue
This is completed by reconciling ticket sales reports from the Ticket Office and reports provided by the University. It includes management of unearned revenues, recognizing revenue, and variance analysis
Responsible for working with Financial Services on University External Audit answering questions as submitted by Financial Services
Serve as the liaison with the University Budget Office
This includes annual budgeting exercises, Adaptive entries, budget transfers, etc
Work with Academic Services area on SAOF transactions
This is an area of additional funding that is available to student athletes for extraordinary issues. It includes reviewing available funds and ensuring there is equity in the distributions
Other duties as assigned by the Deputy AD/CFO and Business Strategy and Associate AD, Finance
Job Requirements
Required Education and Experience: Bachelor's Degree in Accounting, Finance, Business, Management, or related field AND;
48 months of working experience in a complex financial role or related experience.
Equivalency/Substitution: Experience or a combination of education & related experience can be considered in lieu of degree. A one-to-one ratio is used to determine the number of years of experience required in place of a degree.
Skills:
Strong financial background and must be able to review and analyze numbers
Ability using Microsoft Office suite, particularly high proficiency with Excel
Knowledge of accounting, audit preparation, fiscal management, budgetary principles and processes
Ability to create financial modeling and analysis, with sharp attention to detail
Exceptional communication and presentation skills, including the ability to develop and present findings to all levels of management
Strong critical thinking and problem solving, exercising good judgment to solve problems and complete work efficiently
Ability to manage multiple requests simultaneously in a fast-paced with the ability to meet deadlines
Strong interpersonal and relationship-building skills, with ability to partner cross-functionally at all levels of the organization
