Duties and Responsibilities

Strategic Leadership

• Oversee the daily set up for practice or gameday.
• Assist in game planning and preparation with coaching staff.
• Manage statistics during gameday.
• Assist the Head Coach in strategic planning, compiling and analyzing data for gameday.
• Liaison with Coaching staff and administration.
• Monitor and analyze overall program budget, including proposed travel budget annually.
• Facilitate equipment, apparel orders and inventory with equipment staff.
• Authorized to make P-card and T-card purchases on behalf of the assigned sport.
• Manage the team per diem card program for current student-athletes, staff, and for official visits.
• This includes working with Financial Operations to order cards and reporting lost/stolen cards.
• Prepare requisition for purchase order request for departmental purchases either thru iBuy or the
• Banner system. Contact vendors for Banner establishment.
• Coordinate with Business Office if special payment arrangements need to be made with vendors.
• Coordinate travel arrangements for the team/staff and manage needs during home and away competitions related to team communication, itineraries, equipment needs, team meals and per diem cards.
• Process expense reports for head and assistant coach. This includes team travel, competitions,
• recruiting and other miscellaneous reimbursements.
• Oversee that all policies are being followed to support DIA, campus and NCAA
• Support the coordination with negotiating the terms for game contracts, including, but not limited to guarantees, locations and or/logistics

Strategy & Analytics -

• Assist coaching staff with the development and execution of practice and game plans, including opponent scouting and in-depth film analysis.
• Analyze game and practice data to identify trends, player strengths/weaknesses, and areas for improvement.
• Study opponent strategies and tendencies to support game preparation and competitive advantage.
• Collaborate with coaching staff to synthesize input into the development of team playbooks and philosophies.
• Formulate and organize analytical data in a format that supports strategic team improvement and performance tracking.
• Assist in managing in-game statistical analysis and strategy execution.
• Provide resources and accountability measures to ensure student-athletes meet championship-level expectations on and off the field.
• Promote the vision, values, and spirit of Illinois Athletics through strategic engagement and program alignment.

Program Operations & Logistics

• Oversee daily operations including setup for practices and game day logistics.
• Manage equipment and apparel inventory in collaboration with equipment staff.
• Coordinate team and staff travel, including itineraries, lodging, meals, and per diem management.
• Facilitate purchase orders, vendor setup, and expense processing through university systems (iBuy, Banner, P-Card, T-Card).
• Monitor the program’s overall budget and support financial planning for travel and operations.
• Ensure all operational practices adhere to University, DIA, NCAA, and Big Ten policies.
• Coordinate facility scheduling for practices and games.
• Support game contract negotiations including guarantees, location, and logistics.
• Liaison with Event Management and Marketing staff to support successful execution of game-day activities and promotions.

Communication & Engagement

• Manage external communications strategy for the Head Coach and program branding.
• Serve as a liaison for media relations, donor relations, and internal communication.
• Develop and distribute correspondence, social media content, and strategic messaging on behalf of the Head Coach.
• Coordinate and ensure compliance with NCAA regulations during official visits and recruiting events.
• Plan alumni relations, community service, and outreach initiatives.
• Lead communication efforts with key recruiting constituents and cultivate ongoing engagement.

Administrative Duties

• Coordinate team-building activities and program-specific events.
• Manage APEC forms, Time Management Plans via Teamworks, and letterwinner tracking.
• Organize housing logistics for new student-athletes during preseason and academic breaks.
• Coordinate with development staff regarding courtesy car exchanges for coaching staff.

Minimum Qualifications

• Education: Bachelor’s degree in sport management, business administration, communications, data analytics, or a related field. • Experience: At least 2–3 years of experience in athletics operations, coaching support, & team logistics

• Maintain knowledge of, and compliance with, specific NCAA, Big Ten Conference, and institution rules that relate to this position is required.

Appointment Information

This is a 100% full-time Academic Professional position, appointed on a 12-month basis. The expected start date is as soon as possible after 10/13/2025. Salary range is $60,000 - $65,000 and is commensurate with experience.
